Front Desk /Office Assistant is responsible for analyzing content from multiple data types (document, spreadsheets, reports) and organizing them for efficient retrieval. Daily tasks will involve updating, editing, and sorting data on various platforms (Excel, PowerPoint, Outlook, and our internal systems) as well as answering phone and booking appointments as well as other admin tasks.
PRIMARY RESPONSIBILITIES:
- Managing front office reception, answering calls, greeting clients and visitors
- Provide administrative support to Owner
- Perform a variety of clerical duties such as filing, faxing, data entry, making copies and scanning.
- Schedule appointments with new and existing clients
- Handle incoming calls
- Compile, prepare, sort and organize documents for data entry
- Verify and analyze data on reports to correct any discrepancies as necessary
- Obtain any missing information on documents to assure these are complete and accurate
- Enter data into the system accurately and efficiently; update data and delete unnecessary files
- Combine and rearrange data from source documents where required
- Transcribe information into the required electronic format accurately and efficiently
- Check all completed work for accuracy
- Store and scan completed documents at the designated file locations
- Maintain logbooks, records, and tasks accurately
- May assist with timesheet administration
- May perform other administrative tasks/projects as assigned
- Clean, organize, and stock Conference Room area
- Assist with word processing, billing and other data entry
- Supports administrative team with special projects, events and other administrative tasks as needed
- May assist with timesheet administration and expense report processing
- Other administrative, clerical, special projects, events and other administrative task as needed.
REQUIRED SKILLS AND QUALIFICATIONS
- A keen eye for details; thoroughness
- Minimum 1 year of data entry experience
- Strong communication skills – both verbal and written
- Well organized; proactive; punctual; dependable
- Detail-oriented and capable of multi-tasking
- Great problem-solving skills
- Strong statistical ability and basic math skills
- Excellent interpersonal skills; trustworthy with sensitive information
- Be able to work in a team and independently
- Ability to create friendly but firm rapport with employees
- Intermediate computer skills (Excel, Word, PowerPoint, Outlook); strong data entry skills
- Bilingual – English & Spanish is a plus but not required.
