Know and understand treatment numbers and become confident to discuss all financing options with the patient and become knowledgeable about procedures in the back office to alleviate possible patient concerns.
The Ideal candidate:
A person in our Treatment Coordinator role has to be outgoing and personable. They must wear a smile beautifully and regularly. This person has a zest for life and loves talking to people over the phone and in person. This person will be the point of contact for our patients that are calling or texting in for the first time or to get scheduled for treatment that has already been planned for them. A person in this role has to have excellent communication skills and can multitask. You must have a love for people and coworkers and be a servant leader to fit in with our culture.

Goal : Become fully trained as a treatment coordinator, mastering all duties and tasks assigned within 90 days post-employment start date and during the duration of employment.
Treatment Coordinator Checklist- 30/60/90 Day Plan to Be Proficient In

What each task includes:
● Overall Office Duties to Answer the telephone with a smile by the second ring with script- Schedule Coordinator representative
■ New Patients
■ Screening calls for OM and Dr to Collect balances and co-pays on all patients
■ Goal is 95% collection percentage monthly o Specialty services supply orders
■ Confirm specialty procedures have all needed supplies two days out
● Scheduling and reports New Patients script Recare appointments, use script (pull reports accordingly)Treatment patients, use script (pull reports accordingly)Unscheduled appointments, use script (pull reports accordingly)Create needed campaigns for recare and treatment in Practice By Numbers
● Financial Arrangements for all patients needing treatment o Complete consultations with patients to discuss treatment and financial obligations
▪ Understand and be confident in financial arrangements with patients o Track treatment acceptance daily using the treatment tracker to Call on unscheduled treatment plans daily- goal to schedule 2 plans to Work with care coordinator team lead on monitoring account balances/claim issues for pt’s upcoming appointments (account reviewer)

Doctor’s schedule is scheduled to production goals and has a smooth flow
■ Use scheduling Dr. protocol
■ Use ideal Dr. treatment time Call and track prescriptions Figure financials for patient portions of appointments
● Follow-up on unsubmitted claims to Send x-ray requests to Check external (Practice By Numbers)Weekly
● Unscheduled Treatment Calls – 2, 2, 2, letter follow-up
● Treatment tracker follow-up and reporting
● Formatting patient schedule to allow to New Patients, SRPs, etc.
● Specialty Correspondence Letters Incoming and Outgoing Monthly
● Treatment tracker
● Expired monthly savings plan letters and renewals
● Reactivation of old patients
● Record voicemails for special events, holidays, etc.
HUDDLE:30 minutes start time prior to the first patient.
CLOCKING IN/OUT: You may start to clock in 15 minutes PRIOR to the huddle.
You must clock out as soon as you are done cleaning up after your last patient. The maximum is 40 minutes after your last scheduled patient.
